GDPR data model: minimal and compliant

KundenSystem collects only what is necessary: name, email, delivery address, order history, opt-in status. No hidden tracking pixels, no third-party data sharing. All data on German Hetzner servers, encrypted at rest and in transit. The data processing agreement (DPA) under Art. 28 GDPR is part of the contract. For a data subject access request, you can see all customer data on one screen and export or delete it with one click.

Marketing opt-in with proof timestamp

Marketing opt-in is separate from the ordering function: a guest can order without consenting to a newsletter. Opt-in is voluntary and confirmed by an explicit tick. The system saves the timestamp, IP address and exact text of the consent declaration — GDPR-compliant and verifiable. When a guest withdraws opt-in, they are immediately removed from all future mailing lists.

Data export on request (Art. 20 GDPR)

When a guest requests their data (right to data portability under Art. 20 GDPR), you click 'Export data' in the admin and receive a complete JSON file with all stored data for that guest. Deletion on request: all data is fully removed, including order history and opt-in log. Only legally required retention data for tax purposes remains archived for 10 years (GoBD).

Household grouping for families

Multiple orders to the same delivery address can be grouped as a household. This is particularly relevant for families where different members order: you see the combined household LTV rather than just the individual user. Household groups can be merged manually or automatically suggested.

LTV and churn detection

Every customer profile shows: total revenue (lifetime value), average ticket, order frequency, last order and active status. Customers who haven't ordered for more than x days (configurable: 21, 30, 60 days) are automatically flagged as 'churn risk'. A filtered view shows all churn-risk customers — ideal for targeted reactivation campaigns with personalised vouchers.

Common questions about customer data

Who can see customer data in the system?

Only users with owner and manager roles see the full CRM. Staff roles see no customer data. Drivers see only the delivery address and customer name for the active job.

Can I export customer data to Mailchimp or another CRM?

Yes. CSV export of all customer data including opt-in status is available in settings. You can export filtered segments (e.g. only customers with opt-in and last order 30–60 days ago).

What happens to customer data on cancellation?

You can download a full data export before cancellation. After cancellation, all data is permanently deleted after 30 days — legally required tax retention data is archived anonymously.
